Do not submit unnecessary sensitive information
Before sending a record or attachment, remove identification numbers, medical information, financial-account details, private addresses, signatures, passwords, and other personal information that is not necessary for the archive to review the submission.
Information collected through the contact form
The current contact form can collect the submission type, an optional name, a required email address, agency or subject, relevant date, related URL, written details, an optional attachment, and confirmation that the material may be reviewed for possible publication.
How submissions are used
Submitted information may be used to review public records, verify provenance, request clarification, respond to questions, investigate a correction, organize archive material, and decide whether a record or summary should be published. A submission is not automatically published.
Publication and redaction review
The project’s default practice is to publish structured summaries and appropriate source records rather than raw personal email chains. Before publication, submissions should be reviewed for relevance, source value, personal information, signatures, phone numbers, unrelated contact details, and other material that does not need to appear publicly.
Service providers
The site is designed for static hosting and currently uses Netlify Forms for the contact form. Netlify may process and store form fields and uploaded files as part of providing the hosting and form service. Netlify’s own privacy statement governs its practices as applicable to its services.

Retention
Submissions may be kept as long as reasonably needed to review the material, communicate with the sender, preserve source provenance, maintain the archive, resolve corrections, or meet operational and legal needs. The project does not currently promise a fixed deletion schedule. Material that is clearly irrelevant, duplicative, unsafe to retain, or not selected for archive use may be deleted.
Local browser storage
The light-or-dark theme choice is saved in the visitor’s browser using local storage so the preference can persist. The theme setting is not a user account and is not used by the site to identify the visitor.
Analytics and advertising
This site uses Google Analytics 4 to understand aggregate use of the archive and improve navigation, search, accessibility, performance, and content organization. Google Analytics may collect information such as pages viewed, site interactions, session statistics, approximate location, browser and device information, and a pseudonymous client identifier stored in a first-party cookie such as _ga. The site uses measurement ID G-Z986452GPY.
The project uses analytics for site measurement and maintenance—not to sell personal information, serve personalized advertising, create marketing profiles, or conduct remarketing. The project does not intend to enable Google Analytics advertising features, Google Signals, or a connection to Google Ads. Google processes Analytics data under its own terms and privacy practices.

Hosting providers may separately receive ordinary technical request information needed to deliver and secure the site. This notice should be reviewed before adding advertising, a newsletter, user accounts, or additional submission services.
External sites
The archive links to government agencies, statutes, vendors, court materials, news sources, advocacy organizations, and other third parties. Those sites have their own privacy and data-handling practices.
Questions, corrections, or deletion requests
Use the contact form to ask how a submission is being used, request correction of personal information, or request deletion of material you provided. A request may require enough information to identify the submission, and deletion may not be possible when a record has already been lawfully published, incorporated into the archive, or retained for source integrity or legal reasons.
